Job Purpose

Reporting to the Director, Market Engagement, with day-to-day operational supervision provided via the Program Advisor, Market Engagement (“Supervisor”), the Events Coordinator plays a crucial role in orchestrating signature, virtual and in-person events and other programming deliverables for CAGBC members and audiences that help engage and grow the Canadian green building sector.

This role is responsible to orchestrate and oversee all the planning, budgeting and logistics for CAGBC events and programming to ensure smooth, impactful delivery. The Events Coordinator will work closely with all Market Engagement team members, across all CAGBC business units and directly with multiple internal and external subject matter experts and committees.

Responsibilities
  • Assist in the planning and delivery of all event-based engagement (signature, virtual, in-person and external) to support CAGBC’s corporate strategic priorities and objectives.
  • Coordinate with the appropriate CAGBC teams to implement event/program delivery; coordinate promotional and communications strategies; coordinate speakers, oversee sponsor deliverables, set and adhere to deadlines and plans,  execute timely run-of-show during event delivery.
  • Monitor budgets, invoicing and timelines that ensure event deliverables and commitments are completed as specified. Report progress on delivery to Program Advisor and Director as appropriate.
  • Selecting and negotiating with vendors, including venues, and monitoring their activities to ensure quality control.
  • Oversee, coordinate, and orchestrate logistics for third parties that include and not limited to speakers, attendees, facilitators, vendors, digital delivery, etc. Ensure any issues and inquiries are resolved in a timely manner.
  • Coordinate any post event communication, promised deliverables, recorded links, evaluation, etc.
  • Conduct post-event lessons learned to gather feedback and improvement ideas where needed.
  • Perform related duties and responsibilities as assigned by the Supervisor.

Required Experience

Education and Experience

  • Post-secondary education in a related field.
  • 3-4 years’ work experience in events and program delivery, an equivalent combination of education and work experience will be considered.
Skills
  • Experience in coordinating a range-of-scale events (large and small), including high profile signature events.
  • A demonstrable track record of coordinating events (in-person and virtual).
  • Strong project coordination skills including planning, budgeting, and communication, with an agile work ethic.
  • Experience and ability to successfully manage multiple projects at the same time.
  • Proven ability to collaborate with cross-disciplinary teams and track goals and objectives.
  • Experienced in vendor relations and negotiation skills.
  • Strong computer skills including Office 365, database applications, and advanced live, virtual and hybrid event management software (Zoom, Teams, etc).
  • Prior experience with conference management systems (Eventbrite, Swoogo, Judgify) and CRM software (iMIS or similar) is beneficial.
  • Bilingual French and English (verbal and written) is a definite asset.
  • Familiarity with non-profit or association operations is an asset.
